Option 2: Salesforce Data Capture for Field Service
Data Capture for Salesforce Field Service is a new set of functionalities available to Salesforce Field Service licensees that allows end users to conduct inspections in the field. It supports multiple data entry types for comprehensive data collection, including address input, checkboxes, date/time selectors, and file uploads. However, it is important to note that a field service license is required to use this feature, which can be a benefit or a hindrance depending on your implementation.
Data Capture improves the field experience for technicians through a form-like user interface that is opened via the Salesforce Field Service Mobile App. It offers easy form creation and offline functionality that works similarly to Salesforce flows. Forms can be saved and returned to later for completion, providing flexibility and convenience.

Despite its benefits, Salesforce Data Capture for Field Service is not optimized for iPad usage. It also has limitations on file/image uploads, allowing only a total size under 100 MB (which can be easily reached with 20 photos or fewer, depending on the image quality to upload). Additionally, it does not support PDF result generation and has a JSON response size limited to 131,072 MB. This option works well for simple data collection use cases where a flow won’t suffice. Still, it may not be suitable for high levels of data collection, multiple form types, or advanced features like extensive image capture and video.
Option 3: Various Options from Salesforce AppExchange
When you have needs that can’t be met by building flows or relying on Salesforce Data Capture’s existing capabilities, the Salesforce AppExchange offers a wide range of customizable solutions. These options may provide advanced features like photo/video capture and annotations, making them more suited to specific use cases.
However, the overwhelming number of options (417 current search results, as seen in the photo below) can be confusing, and existing limitations in third-party apps may hinder user adoption. Despite being given a new tool, users may still rely on other digital habits, wasting time in the field. For example, if an app isn’t made to fit the habits that a user already has, they may default to their old habits to make the job easier, such as taking photos on their camera roll and attaching them to the record later via desktop instead of using built-in capture.
When choosing an app from the AppExchange to satisfy your data collection needs, consider what elements are essential to your use case. For example, if you need photo evidence, a photo-powered solution may be a priority in your decision-making.
Option 4: Forms App by SharinPix
